To enter a new corporation into your private library, click on Contact Library - New Library Entry in the always available menu bar at the top.

Type - The purpose of the type is to limit the library lookup lists. For example, when looking up a lawyer or notary, the system displays only entries that have a Type of Law Firm/Notary Office. Select the type of company that you are creating from the drop down. If you are entering a client select Other Corporation.

Library Visibility - This field defaults to Company which means that your entire firm will be able to view this corporation in the library lookups. If you set this option to Creator Only, you are the only user in your firm that will be able to view this entry in the library lookups.

Created By and Created At - These fields will complete automatically with the name of the user and the date created.

Company Name - Enter the name of the company.

Verify Name - Once a name is entered in the Company Name field, click this button to have the system check both the public and your private library to ensure that there is not already an entry created for this company.

Addresses - This field defaults to Main. If there is only one address for the company, leave this set to Main and complete the address fields.  If there are multiple addresses for the company, set this field to Other. A field will be displayed to allow you to specify the name of the additional address, such as Home or Work. Enter a name and complete the address information. If you wish to add an additional address, click the Add Address and Contact Information link.  The address will be saved and you will be returned to the Main address section. Click the drop down and select Other and follow the steps above to add an additional address. If you do not wish to add any additional addresses, complete the balance of the screen and click the Save link at the bottom of the screen.

Incorporation Number - Enter the incorporation number of the company, if applicable.

Registration Number - Enter the registration number of the company, if applicable.

HST Number - Enter the HST number of the company, if applicable.

Other Jurisdiction - If the company is incorporated in another jurisdiction other than BC, enter the incorporation details.

Notes - The notes field is a free form text field that allows you enter any notes relative to the company.

TIP - HOW TO CREATE A PRIVATE COMPANY WITH OFFICERS AND DIRECTORS

Start by creating your Corporation using the New Library Entry link.

Type - Set the Type field to Other Corporation.

Company Name - Enter the name of the company

Add New Officer/Director - This section appears only when the Type = Other Corporation. To add an Officer, Director and/or signing authority, click the Add New Officer/Director link. The Officer/Director details screen appears.

Last Name - Enter the last name of the individual, or if the individual is already in your private library, click the Last Name link to lookup and add the individual.

First Name - Enter the first name of the individual

Middle Name - Enter the middle name of the individual

Position - Enter the position this individual holds in the company (eg. President)

Signing Authority - Select this option if this individual is a signing authority of the company

Officer - Select this option if this individual is an officer of the company

Director - Select this option if this individual is a director of the company

Address and Phone - Complete the address and phone details of the individual.

Select Save or Save & New Officer/Director to enter additional officers/directors. You are then returned to the library entry screen for the company. Complete the balance of address and phone fields as applicable and Save your entry.

Now that you have your private company created, and officers and directors attached, when you select this company as either a Seller, Buyer or Borrower, the appropriate fields will completed on Seller, Buyer or Borrower screens and all documents should complete with the appropriate information.
