Importing title search data into your file is a two step process. Click the Import Data to File link to be taken to the first step.
Note: No information imports to your file from the Strata Plan Common Property Search, Parcel Information Search or Pending Applications search.
Import Title Information - Step 1
The title search data is separated into tabs for easy review. The information on the Legal Notations, Duplicate Indefeasible Title, Transfers, Pending Applications and Header and Footer tabs are displayed for ease of reading and will not be imported into your file.
In the bottom portion of this screen you can display the full title text, only that portion of the title text relative to the tab you are on or hide the title text altogether.
Registered Owner in Fee Simple
This tab displays the registered owner(s), address for the registered owner(s), and if applicable, tenancy and capacity. Review the information on this screen to ensure that the drop down in the Information Type column on the left matches the Information From Title Search in the column on the right.
Note: Individual owners and occupations appear on one line. The drop down should be set to Individual Owner and the occupation will automatically be moved to the correct field.
Note: Capacity is used for such things as "Executor of the Estate of ".
Description of Land
This tab displays the parcel identifier and legal description. You can edit this information if required.
Charges, Liens and Interests
This tab displays current charges that are registered on title. Review the information on this screen to ensure that the Information Type matches the Information From Title Search in the column on the right. Often there are multiple charge holders for the same charge. In this situation, ensure that you set the Information Type to the left of each charge holder name to either Corporate Charge Holder or Individual Charge Holder. Note there is also a CCH Additional Information option in the Information Type drop down. At times, the charge holder name does not appear on one line. You can set the information on the second line to CCH Additional Information.
Each charge is separated by a shaded heading row that contains Information Type and Information From Title Search. You must scroll through all charges to ensure that the Information Type correctly matches the Information From Title Search. Doing this at this step will save you time in the long run.
Taxing Authority
This tab will display one or more taxing authorities. You can edit this information if required.
Once you have reviewed the information on all of the above tabs, click the Go to Step 2 link.
Import Title Information - Step 2
Owner
Individual or Corporate owners will be displayed on this tab. Each owner is separated by a shaded header row that identifies the owner as an individual or corporation. If there are already sellers or borrowers entered on your file at the time you import the title information, the header row will also contain a drop down for you to select whether the system should create a seller or borrower replace an existing seller or borrower or ignore this seller or borrower altogether. Example: If you select Create Seller, the system will create a new seller using the owner information set out. If you select Replace Seller, the system will overwrite the selected Seller record using the owner information set out. If you select Ignore, the system will do nothing with the owner information set out.
The owner name and address information will be separated into the appropriate fields. If anything is incorrect, it can be edited on this screen or you can click the Return to Step 1 link to return and reset the Information Type drop downs.
Description of Land
The property will be displayed on this tab with a shaded header row above the PID and Legal. If there is already a property entered on your file at the time you import the title information, the header row will also contain a drop down for you to select whether the system should create a new property, replace an existing property or ignore the property altogether.
The property address will also be displayed on this tab with a shaded header row above the Suite. A drop down will appear that allows you to select the appropriate address for the property or ignore the address. If there are multiple owners on title with multiple addresses, all address will appear in the drop down. Note: If none of the addresses noted are the civic address for the property, you can change the address on this screen.
Charges
The current charges registered on title will display on this tab with a shaded header row above each charge. The header row will contain a Remove or Leave drop down. This drop down is set to Leave by default for all charges. Click the drop down and select the appropriate option if the charge is to be removed.
The charge information will be separated into the appropriate fields. If anything is incorrect, it can be edited on this screen or you can click the Return to Step 1 link to return and reset the Information Type drop downs. Be sure you set the Remove or Leave option for each charge.
Taxing Authority
The name of the taxing authority will appear on this page. If there is a second taxing authority, it will also appear on this page with an option for you to set it as a utility provider.
Once the information on all tabs has been reviewed, click the Import - Finish link to have the information imported to your file based on the settings you have made.
