Files can be closed from a lawyer or notary file list or from the search results screen. Files can be closed singly or in multiples. If you are closing a single file, you will be prompted to download any finalized documents. If you are closing multiple files, you will not be prompted to download finalized documents.

Close Files from a File List

  1. To close a file or multiple files, select the Lawyer/Notary name under the 'firm' menu.
  2. Click the appropriate tab depending on the type of file(s) you wish to close.
  3. Select the check box next to the left of the file(s) that you want to close.
  4. Click the Close File icon near the bottom left of the screen close.gif.  When you move your cursor over the icon the words 'Close Files' appear. Click on the Close File icon to close the file(s).
  5. A series of questions will appear for you to respond to. Read them carefully and select your response accordingly.
    • First prompt says [Are you sure you want to close the file?] Choose Yes or No
    • Second prompt says [All finalized documents for this file will be deleted when the file is closed. To download the finalized documents and close the file now, click Download & Close.] Choose from Close, Download & Close, or Cancel.

The file may remain on your file list temporarily with the (closed) indication next to the file number. The system will automatically remove the file on the next index update.

Close Files from the Search Results Screens

You may find it quicker to close files from the search results screen. You can search for a specific file to close, or multiple files with the same closing date.

  1. Enter your search criteria in the search box, or is you wish to locate several files with the same completion date, click the magnifying glass to the right of the search box and enter the completion date in the completion date field and click the magnifying glass.
  2. Select the check box to the left of all files you wish to close. Note: Clicking the top most check box will select all files.
  3. Click the Close File icon near the bottom left of the file section close.gif. Note: Each section has its own close file icon that must be selected to close files in that section.
  4. A series of questions will appear. Read them carefully and select your response accordingly.

The file may appear in your search results screen temporarily with the (closed) indication next to the file number. The system will automatically remomve the file on the next index update.
